In brief
- We only process details you send us or that we need to run your session and accounts.
- No ad cookies, no sale of data, no AI training on your recordings.
- Working files are kept for up to 18 months after the last session unless agreed otherwise.

1. Who is responsible
Olivevanta B.V. ("Olivevanta"), a private limited company (B.V.), registered at Sarphatistraat 72, 1018 GE Amsterdam, the Netherlands, is the controller for personal data collected through olivevanta.click and in direct communication about services such as vocal recording, mixing, mastering, podcast recording, and live recording.
Trade register (KvK) 88503974, VAT NL836272614B01. Managing director: Femke Jansen. Privacy contact: [email protected] or 020 244 8619. We have not appointed a data protection officer; it is not required for our scale.
2. Scope
This policy covers website visitors, people who use contact, and clients who book studio time or post-production. Contractual terms are in our terms and conditions.
When a business client asks us to record guests, hosts, or performers, that client usually decides purposes and legal bases for those individuals. Olivevanta processes their data only on the client’s instructions, as set out in the data processing agreement.
3. Data we collect
Contact form: name, email, phone (optional), service selected, preferred date (optional), and your message. Required fields are needed so we can reply within 2 working days.
Booking and delivery: billing details, artist or project name, scheduling, email and phone threads, payment references. A 25% deposit may apply; cancellation terms are in the cancellation article (free up to 5 days before the session where stated).
Recordings: voice, instruments, and other audio are personal data when they identify you. We use them only for mixing, mastering, delivery, or editing as agreed. Video or photos you bring remain your responsibility.
Technical: host TransIP B.V. processes server logs (IP address, time, page, user agent) for security. Your cookie choice is stored locally; see cookie policy and key olvv_consent_v1.

We do not sell data or run newsletters. Optional tracker categories in the banner are empty.
5. Voice, image, minors, AI
We do not publish clips of your recordings, session photos, or your name on olivevanta.click or social channels without prior written consent.
Client recordings are not used to train, test, or improve AI systems. We do not create synthetic voice clones without explicit written approval from the person concerned.
The online form is aimed at people aged 16 or older. Younger participants join under a parent or guardian who makes the booking.
6. Recipients
Only team members involved in your project access your data. External parties receive data when necessary:
- TransIP B.V., Vondellaan 47, 2332 AA Leiden, Nederland, hosting olivevanta.click and email, primarily in the EU;
- FormSubmit (formsubmit.co, United States), forwarding contact form messages to [email protected];
- accountant, for billing under professional secrecy;
- bank, for payments;
- authorities, when the law requires it.
Each processor is bound by Article 28 GDPR-style terms. Business clients receive only deliverables tied to the job.
7. Transfers outside the EEA
Hosting and storage are mainly in the European Economic Area. FormSubmit processes form content in the United States. That transfer is needed to deliver your enquiry; you can email [email protected] or call 020 244 8619 instead to avoid the form route.
Where no adequacy decision applies, we rely on appropriate safeguards or, for one-off enquiries, on the exception for pre-contractual steps at your request. We explain further on request.
8. Security
We use HTTPS, role-based access, strong passwords, encrypted workstations where practical, physical studio access by appointment, and deletion of working files after the 18-month archive window unless you agree otherwise.
If a breach risks your rights, we notify the Dutch supervisory authority and you when GDPR requires it. No online transfer is perfectly secure; once data reaches us, we apply reasonable safeguards.
9. Your rights
You may request access, rectification, erasure, restriction, portability, and object to processing based on legitimate interest. You may withdraw consent without affecting earlier lawful processing.
Email [email protected] with enough detail to identify you. We respond within one month; complex cases may be extended by two months with notice. Complaints: Autoriteit Persoonsgegevens (AP), autoriteitpersoonsgegevens.nl. We prefer to resolve issues with you first.
10. Cookies
No analytics or advertising cookies are used. Your choice is stored for 182 days in localStorage under olvv_consent_v1. See the cookie policy or reopen .
11. Third-party links
The site links to OpenStreetMap for directions on contact. Those services have their own policies; we do not control them.
12. Updates
